Upload a training certificate

Record a certificate from training you did with an outside provider, so it can be approved and count on your training record.

Mobile app

Some training is done somewhere else — a first aid course with an outside provider, for example. In the app these modules are marked External. They have no lessons: you do the course with the provider, then record your certificate against the module.

What you record goes on your training record as Pending. It only counts as complete once somebody with the right role has checked and accepted it. The app never marks it complete on your say-so.

The expiry runs from the date printed on the certificate, not from the day you record it — so enter the date the certificate shows.

  1. Step 1

    Open My training

    Tap Menu at the bottom of the app, then Training.

  2. Step 2

    Open the external module

    External modules carry an External label. Tap the one your certificate is for. Its screen names the provider and has a link to book a course with them — the app does not talk to the provider's system, so nothing comes across on its own.

  3. Step 3

    Enter the certificate number

    Under What we need from you, tap the number field and type the certificate or qualification number exactly as it is printed.

  4. Step 4

    Enter the date on the certificate

    Tap Date on the certificate and choose the date it was issued. You can't pick a date in the future.

  5. Step 5

    Attach the certificate

    Tap Attach and choose the file — a PDF, or a photo of the certificate. When the module says the certificate is required, you can't send it without one.

  6. Step 6

    Check the expiry

    The line at the bottom now says when it will expire once accepted, counted from the date on the certificate.

  7. Step 7

    Send it

    Tap Record my certificate. It stays grey, with a line saying what is missing, until everything it needs is filled in.

  8. Step 8

    Waiting for approval

    The module now says Sent for approval and shows what you sent: the reference, the issue date and the expiry that follows from it. It shows as Pending approval on your list and on your team leader's report.

  9. Step 9

    If it's sent back

    An approver who can't accept it sends it back with a reason. The reason shows on this screen, and the form opens again so you can correct it and tap Record it again.

  10. Step 10

    Changing what you sent

    While it is waiting, Replace what I sent opens the form again. The approver only sees the latest details, and it stays waiting for approval.

  11. Step 11

    Once it's accepted

    The module counts as complete and your certificate is issued. The approval side is covered in Training compliance.

    Other ways in

    On the web dashboard, My training in the side menu opens the same external modules, with the same form for recording your certificate.
