The Compliance report answers one question: is everybody current on the training they have been given? It lists every person against every module assigned to them, and counts what is overdue, expired, or about to expire.
It sits beside the Approvals queue. Training done with an outside provider — a first aid course, say — is recorded by the learner with their certificate, and it does not count until somebody with the approval permission accepts it. Until then it shows as Pending approval in the report.
You need permission to read other people's training progress to open the report, and a separate approval permission to accept certificates.
Step 1
Open the report
In the side menu, click Training, then Compliance at the top of the library.
Step 2
Read the three cards
Organisation compliance is the share of assigned training that is current, with how many people are fully current. Needs attention counts the lines that are overdue, expired or expiring. Pending approval is the number of certificates waiting on you.
Step 3
Switch to the grid
The report opens as a list, most urgent first. Grid shows one row per person and one column per module, so gaps stand out at a glance. The legend above it says what each colour means; a grey square is a module that person was never given.
Step 4
Narrow it to what needs fixing
Click Needs attention to keep only the people with something overdue, expired or expiring. The status filter changes to match, and Clear filters puts everybody back.
Step 5
Spot who is behind
A person whose avatar is red has something overdue or expired. Someone who is only expiring stays in the filtered list but keeps the normal avatar — they are still current, for now.
Step 6
Open the approval queue
Click Approvals at the top of the report. Its badge shows how many certificates are waiting.
Step 7
Check the certificate
Each item shows the person, the module, the provider, the certificate reference, the date it was issued and when it was sent. View file opens the uploaded certificate in a new tab.
Step 8
Approve it
Click Approve, read the confirmation, and click Approve again. The expiry is worked out from the date on the certificate, not from the day you approve it.
Step 9
What changes
The person becomes current on that module and it leaves the queue. Their certificate is issued and they are told it was accepted.
Step 10
When a certificate is wrong
Click Decline instead and say why — the reason is required and the learner sees it. They can then record the evidence again. The declined record is kept, with its reason, so there is a trail of what was checked.
Step 11
Chasing people
In the list view, each line that still needs doing has a Remind button, and Remind all reminds everybody on screen at once. Filter first if you only want to chase the overdue ones.
Step 12
Other ways in
The Compliance card on the training library opens the same report, and its Overdue and Expiring cards open it already filtered. The Pending approval card on the report opens the approval queue too. Someone who approves certificates but does not use the training library gets Training approvals in the side menu instead.
