Plan an audit event

Plan a dated audit inside an audit programme: its day, place and auditors, the evidence period, which clauses are checked and the sample, so your team gets a preparation list for it.

An audit event is a dated audit inside an audit programme, internal or external. It moves through five stages: prepare, freeze the evidence pack, the auditors on site, follow-ups, and closed.

Planning one sets what the auditors will check: the evidence period, the clauses, and a random sample of sites, assets, client files or staff records. The event then lists what needs attention before the day.

You need permission to manage audit programmes, and the programme must not be closed or archived.

  1. Step 1

    Start planning

    In your audit programme, click the Audit events tab, then click Plan an audit event. The tab lists each event with its day, stage, evidence pack and evidence period.

  2. Step 2

    Name, kind and day

    Enter a Name, choose the Kind (External audit or Internal audit) and set the Day of the audit. The day is a calendar date, read as written.

  3. Step 3

    Where and who

    Add Where it happens and the Auditors, separated by commas.

  4. Step 4

    Evidence period

    Evidence from and Evidence to start as the programme's period. Narrow them to the period the auditors will look at. You can also set when the pack freezes automatically, in your organisation's time, or leave it empty to freeze by hand, and a Follow-ups by date.

  5. Step 5

    Choose the clauses

    To audit only some clauses, turn off The auditors check every clause, then tick whole sections or single clauses. Find a section or clause filters the list. You need at least one.

  6. Step 6

    Set the sample and plan it

    Under Sample, choose for sites, assets, client files and staff records: All in scope, or A random number and how many. The sample is drawn when the pack freezes, the same way every time for this event. Click Plan event.

  7. Step 7

    Prepare

    The event opens at 1 · Prepare. Preparation lists what needs attention now: freezing the pack, clauses with no evidence source, training that isn't current, overdue checks. Each line leaves when its condition clears. You can add your own items too. What the auditors will check sums up the clauses, sample and period.

  8. Step 8

    Change it later

    Click Edit on the event to change it. The clauses, sample and evidence period are fixed once the auditors are on site.
