An audit programme follows one or more standards over a period: the checks your team does, how often, and the evidence that you meet each clause.
You set it up in three steps: the standards and the period, who and what is in scope, then the scheduled activities. It is saved as a draft, and nothing falls due until you start it.
You need permission to manage audit programmes, and audits must be turned on for your organisation. Only published standards can be chosen, so publish yours in the standards library first.
Step 1
Start a new programme
In the side menu, click Audits, then click New audit programme. The list shows each programme's standards, how much is evidenced, overdue activities, open findings and the next audit event.
Step 2
Name it and set its dates
Enter a Name, then the From and To dates the programme covers. The dates are calendar days in your organisation's timezone.
Step 3
Choose the standards
Under Standards, choose the standards you're audited against; each shows how many clauses it has. You can also choose an Owner and add a Description; both are optional. Then click Next: scope, which tells you if the name, a standard or the dates are missing.
Step 4
Set the scope
Each card is one kind of thing a clause can be about: the organisation, sites, assets, clients and staff. Choose which ones are in scope, for example Every active site, Every asset at the sites in scope during the period, or staff by role, team or person. Each card shows how many it covers and how many clauses are about it; clauses about a kind you leave out are listed as out of scope. Then click Next: activities; the programme is saved as a draft at this point.
Step 5
Add the checks
Under What needs doing, choose a form, gap assessment, document review, register check or training. For a form, choose the form, who it is For (each site, asset, client or staff member in scope, or the organisation), How often it is due, who it is Done by and when it Starts, then click Add activity. What this creates describes the tasks it will make. Add as many as you need.
Step 6
Finish
Click Finish to open the programme. It is still a draft: Draft — not started. Nothing is due until you start the programme. You can change its details and scope from the ⋮ menu, and add activities with Add activity.
Step 7
Start the programme
When you're ready, click Start the programme. The programme becomes Active, and each activity makes its tasks for everything in scope, due through the programme's period. The Schedule tab shows what is due and overdue, and the Evidence tab shows the evidence for every clause.
Step 8
Other ways in
Click Skip for now on the activities step to add activities later, from Add activity on the programme page or its Schedule tab. The scope and dates can be changed later with Edit details and scope in the programme's ⋮ menu.
