Schedule audit checks

Add a scheduled check to an audit programme so its tasks fall due for the right people, then tag a form question to a clause so its answers count as evidence.

An audit programme's Schedule holds the checks your team does: a form, gap assessment, document review, register check or training, for everything in scope, as often as you set. Each one makes tasks for the people who do it.

The Evidence tab shows, clause by clause, what proves you meet the standard. Tagging a form question to a clause makes every answer to it evidence for that clause.

You need permission to manage audit programmes to add activities. Tagging a question needs permission to manage standards, and to edit that form.

  1. Step 1

    Add an activity

    In your audit programme, click the Schedule tab, then click Add activity. The schedule lists what is due this week, this month or over the whole period, by activity, by site and asset, or by person.

  2. Step 2

    Choose the form

    Under What needs doing, choose Form, then choose the form your team fills in. If the form's compliance questions are linked to clauses, it says how many clauses it evidences. Leave Name empty to use the form's title.

    Set how often and who

    Choose who it is For, How often it is due (every shift, every day, or every so many days, weeks, months or years), and who it is Done by: whoever is rostered there, people in chosen roles, or chosen people. You can also set when it Starts, when it Counts as late, and whether Only an approved response counts. What this creates describes the tasks.

  4. Step 4

    Save it

    Click Add activity. On a programme that has started, its tasks appear on the schedule straight away, one for each site, asset, client or staff member in scope. Submitting the form for one completes its task; a missed one shows as overdue.

    Open a clause

    Click the Evidence tab, then click a clause. Each clause shows what it is about, its evidence sources and its state, such as No evidence source or Evidenced.

    Or let AI find questions

    In the clause panel, Suggest questions with AI opens the standard's Coverage tab, where Find questions asks AI to match the clause against questions on the forms you can edit. You accept or reject each suggestion before anything is saved.

    Link a form question

    Under Link more evidence to this clause, click Form question. The other buttons link a library document, training module, register tag, measure or case rule, depending on what the clause is about.

  8. Step 8

    Tag the question

    Choose the Form and the Question that proves the clause, then click Tag the question. For a question with set answers, you can choose which answers pass and which fail; any other answer counts as evidence without passing or failing. Tags save straight away and don't change the form version.

  9. Step 9

    See it counted

    The clause panel now lists the question as a source, Form question · tagged to this clause, with how many of the clause's sites, assets or people it evidences. Answers already given in the programme's period count straight away; Show records lists them.

    Other ways in

    Add activity is also at the top of the programme page, and in the new-programme wizard. To let AI do the matching, click Suggest questions with AI in the clause panel: it opens the standard's Coverage tab, where Find questions suggests questions from your forms for that clause. To tag a whole form at once, open it in the form builder and click Map to a standard (see Map a form with AI). Nothing is saved until you accept suggestions and save them.
