An audit event is a dated audit inside an audit programme: you prepare for it, freeze the evidence pack, the auditors visit, and the findings are followed up.
Freezing the evidence pack saves what was evidenced at that moment as a numbered version, with a root hash the page checks the stored pack against, so you can show it has not changed since.
You need permission to manage audit programmes to freeze a pack, and the Share audit evidence permission to download it or share it outside the organisation. Audits must be turned on for your organisation.
Step 1
Open the programme
In the side menu, click Audits, then click your audit programme. The list shows each programme's standards, how much is evidenced, overdue activities, open findings and the next audit event.
Step 2
Open the audit event
Click the Audit events tab, then click the event you're preparing for. Each event shows its day, its stage, whether its evidence pack is frozen, and the period the evidence comes from.
Step 3
Freeze the evidence pack
When the Preparation list is done, click Freeze evidence pack. If the event has a freeze time set, the pack also freezes on its own at that time. You can freeze again until the auditors are on site; each freeze makes a new version, and the newest becomes the pack the auditors see.
Step 4
Check the version and root hash
The event moves to Pack frozen. The pack shows its version, when and by whom it was frozen, how many parts it holds, and its root hash. Verified: the stored parts still hash to the root. means the stored pack still matches what was frozen.
Step 5
Download the pack
Click Generate PDF and zip. The page says when the files are being generated; they also appear in Downloads. When they're ready, click Download as PDF, or Download all files (.zip) for the pack with its files.
Step 6
Create a share link
Under Sharing and the day, click New link and enter who it's for. What it shows decides what the auditors see: Evidence pack is the frozen pack only; Live progress is completion as it happens, with the schedule, evidence and findings. Set how many days the link lasts (up to 180; 30 to start with), and choose whether the auditors can record findings, ask questions, see staff names, and see written answers and photos.
Step 7
Send the link
Click Create link. The new link shows as text under Link created for …; click Copy beside it, then send it to your auditors. The link is listed as Active, with its expiry date and how many times it has been opened. Client names are never shown, and every view is recorded. Click Revoke to stop a link working straight away.

Other ways to share
Share with an auditor, at the top of the programme page, creates a link to the whole programme's live progress rather than to one event's pack.
