Funding and care ratios

Record the care ratio a client is funded for, and see gaps in care while you plan their shifts.

Each client can have one or more funding periods, each with the care ratio they're funded for — how many caregivers to how many clients — and any gender requirement for who supports them. When you plan a shift for that client, the Create New Shift panel checks their roster against the ratio for that day.

  1. Step 1

    Open the Funding tab

    On the client's page, click the Funding tab.

  2. Step 2

    Add a funding period

    Click the pencil to edit, then click Add Funding Period. A new period starts today and runs for a year.

  3. Step 3

    Set the dates and hours

    Check the Start Date and End Date, and set the Daily Hours funded. At 24 hours, every hour of the day is checked against the ratio. With fewer, gaps stay listed until the day has that many hours at the ratio, and a Funded hours not met line shows how many it has so far; once they are met, hours with nobody rostered are no longer flagged.

  4. Step 4

    Enter the ratio

    Under Total Caregivers and Clients, enter the funded ratio — for example 2 and 1 for two caregivers with this client at all times. To require a gender, click Add Gender, choose it and set how many. Then click Save Changes.

  5. Step 5

    See gaps as you plan

    When you create a shift for the client, the panel shows Care Ratio under Assigned Staff. Amber lists each Gap in care that day, with the times; red means over-staffed or a gender requirement not met; green means the requirements are met. Saving an over-staffed shift asks for a reason for over-resourcing first.

  6. Step 6

    Fill a gap

    Click a gap to set the shift's start and end to its times. A gap the shift fully covers is crossed out.
