Some forms need answers from people who don't use Read + Respond — families, visitors, contractors. An external link lets anyone with the link fill in the form in their browser, with no account. You can share the link itself, or a QR code for people to scan.
Sharing externally is part of the Pro plan, and you need the Form Template Share permission. The form must be saved before it can be shared.
Step 1
Open the form
In the side menu, click Forms, then Management. Find the form, click its ⋮ menu and choose Edit.
Step 2
Open External Links
Click Share at the top of the form. The External Links panel lists the form's links; a new form has none yet.
Step 3
Create a link
Click Create Link. Everything on the form is optional: a Label to tell your links apart, Max submissions to stop the link after a number of responses, and an Expiry date. For a client or facility form you can also link it to one client or facility, so every response is filed against them.
Step 4
Save the link
Click Create Link to save it. The link appears as a card with its label and how many responses it has had.
Step 5
Copy the link
Click the copy icon beside the address to copy it, then paste it into an email, a text message or a newsletter. The open icon beside it shows you the form the way a respondent will see it.
Step 6
Show a QR code
Click the QR code icon to show a code for the same link. People can scan it with their phone camera to open the form.
Step 7
Download the QR code
Click Download to save the code as an image, ready to print on a poster or add to a document.
Step 8
Choose what respondents give you
Click Settings on a link to change what respondents are asked for — name, email and phone, and which are required — and whether they complete a CAPTCHA, see your organisation's name, or can submit more than once. You can also add a confirmation message they see after submitting. Click Save to keep your changes.
Step 9
Where responses go
Responses from a link arrive with your other form responses, marked External, and the External Only filter shows just those. If the form requires approval, they arrive as pending like any other response.
Step 10
Managing links
A form can have up to three active links. Regenerate replaces a link's address with a new one and the old one stops working at once; Revoke turns a link off permanently. Use them if a link has been shared somewhere it shouldn't be.
