A form set is an ordered pack of forms that are filled in together for one place, person or asset — the forms a facility audit or a new client's admission needs. You define the set once in Admin Settings, then start it wherever it is needed and follow it on a checklist.
Defining form sets needs the Manage Form Sets permission.
Step 1
Open Form Sets
In the side menu, click Admin Settings, then Form Sets. The page lists your sets with what each is for, how many forms it holds, and whether it is active.
Step 2
Start a new set
Click New form set at the top right. The New form set panel opens.
Step 3
Name and describe it
Enter a Name — it's required — and an optional Description, which shows under the name in the list.
Step 4
Choose what it is filed against
Filed against decides what the set is for: a Facility, an Asset, a Client, a Person, or Nothing in particular. Every form in the set must be for that type, so changing it clears the list of forms. It can't be changed once the set is saved.
Step 5
Add the first form
Click Add a form... and pick a form. The list only offers active forms of the type you chose that aren't in the set yet.
Step 6
Add the rest, in order
Add the other forms in the order they're filled in. Use the arrows on a row to move it up or down, and × to take it out. You can also rename a form within the set by editing its label.
Step 7
Mark optional forms
Every form starts as Required. Turn off the switch on a form that doesn't have to be filled in, and it reads Optional.
Step 8
Save the set
Click Save form set. A set needs a name and at least one form; if either is missing, the panel says which.
Step 9
Find it in the list
The new set is listed in A–Z order, with what it's filed against, its number of forms, and Active.
Step 10
Start it where it's needed
A set is started from the record it's for — a facility's Assessments tab, or an asset's forms — with Start a form set. There you choose the set, can give this run a name, and choose Who can fill it in. Each started set shows as a checklist of its forms, with what's done and what's left. A completed set is locked, and its forms are read-only until it's reopened.
Step 11
Changing a set later
Click a set in the list to edit it. Sets that were already started keep the forms they began with. Turn Active off to stop a set being started; sets already started carry on.
