Check staff workload

See each person's rostered hours week by week, and who is over your weekly maximum.

Staff Workload adds up the hours each person is rostered for, week by week, and compares them with your organisation's maximum hours per week. Use it to catch anyone being over-rostered before it becomes a problem.

The hours come from shifts as scheduled — start to end — not from timesheets. Cancelled, declined and no-show shifts aren't counted. The maximum is set under Admin Settings → Organisation; until it is, the report shows a banner and can't flag anyone.

  1. Step 1

    Open the report

    In the side menu, click Reports, then Staff Workload. It opens on the last four weeks.

  2. Step 2

    Read the totals

    The cards show Total Staff, Rostered Hours in the range, your Max Hours/Week, and how many people are Over Threshold.

  3. Step 3

    Read the weekly trend

    Each line is one person's rostered hours per week. The dashed amber line is the maximum — any point above it is a week over. The chart shows up to ten people, putting anyone over the limit first. Click a name in the legend to pick out that person in the table below.

  4. Step 4

    Change the range

    Click Last 12 Weeks for a longer view, Last 4 Weeks to go back, or set Start and End yourself.

  5. Step 5

    Read the details

    Staff Utilisation Details lists everyone with their Rostered Hours, Confirmed hours (confirmed, in-progress and completed shifts) and Pending hours (shifts not yet accepted), plus their average per week rostered (Avg Rostered/Week). Over Limit marks anyone with at least one week over the maximum; Not Rostered means no shifts in the range. Click a column heading to sort, or use Filters to pick one staff member.
