Set up a register

Create a compliance register and the tags it tracks, so documents tagged with them count toward each person's, client's or facility's compliance.

A register is a list of the things your organisation tracks for compliance — staff qualifications, police vetting, a facility's building warrant. Each item it tracks is a tag. When someone uploads a document and tags it, the document is filed against that register, with its expiry and status tracked.

A register's type decides what it covers: staff, facilities, clients, documents, and a few more. Its settings decide whether entries need an expiry date or a document, whether it appears in compliance tracking, and whether individual tags can be marked required.

Creating a register needs the register create permission and a plan that includes custom registers. Adding tags needs the tag create permission.

  1. Step 1

    Open Registers

    In the side menu, open Admin Settings, then click Registers. Registers are grouped by type; System registers come with the platform and can be hidden with Hide system.

  2. Step 2

    Start a new register

    Click New Register and enter a name people will recognise. A description is optional.

  3. Step 3

    Choose the type

    Register Type decides which records can have entries in it. Staff/User registers track staff; Facility and Client registers track those records.

    Expiry tracking

    Turn on Expiry Tracking when entries run out, like a licence or a first aid certificate. Anyone tagging a document with one of its tags is asked for the expiry date.

    Required tags

    Turn on Track Required Tags to mark each tag required or optional for compliance. Document Attachment and Show in Compliance are the other two settings; Show in Compliance is on by default.

  6. Step 6

    Create it

    Click Create Register. It appears in its group with no tags yet.

    Add a tag

    Click the register to open it, then Add Tag. Give the tag a name, and a colour if you want one.

  8. Step 8

    Required or optional

    On a register that tracks required tags, Required for Compliance is on for a new tag. Turn it off for a tag that is nice to have. Required tags show a small red star.

  9. Step 9

    Using the tags

    A Staff/User register's tags appear as Compliance Tags when you upload or edit a staff document. Client and facility registers work the same way on client and facility documents, and inventory categories on inventory items.

  10. Step 10

    Changing it later

    Click a tag to rename it, change its colour or make it required or optional, or deactivate it when you no longer use it. Use a register's ⋮ menu to edit or archive it. System registers can't be edited.
