Private staff notes

Keep notes on a staff member's profile — supervision points, preferences, follow-ups — that only roles you allow can read.

Every staff member's profile has a Notes tab for things a manager needs to remember about them. Notes are only visible to roles with the View User Notes permission — the staff member doesn't see the tab unless their own role has it.

The tab and each action have their own permissions: View User Notes to read, Create User Notes to add notes and edit your own, Archive User Notes to archive and restore, and Delete User Notes to delete for good.

  1. Step 1

    Open the person's profile

    In the side menu, click Users, then click the person's name.

  2. Step 2

    Open Notes

    Click the Notes tab on their profile.

  3. Step 3

    Write the note

    Click Add Note, then type it in the Message box.

  4. Step 4

    Set the priority

    Choose Low, Normal, High or Urgent under Priority. New notes start on Normal. Then click Create Note.

  5. Step 5

    Find notes later

    Notes are sorted by Priority, most urgent first. Click Created or Updated to sort by date instead, and click the same one again to reverse the order. Each note is coloured by its priority and shows who wrote it and when.

  6. Step 6

    Edit, archive or delete

    Use a note's ⋮ menu. Edit Note appears on notes you wrote. Archive Note hides it from the list — tick Show archived to see archived notes and restore one with Unarchive Note. Delete Permanently can't be undone.
