See how many forms went in

Use the Form Counts report to see how many forms were submitted for each client, facility, asset or person, month by month, with their approval status.

The Form Counts report answers "are the forms going in?" at a glance: how many responses were submitted about each client, facility, asset or person, broken down by form and by month, with how many are approved, pending, rejected or waiting on an update.

You need access to both Reports and Forms to open it.

  1. Step 1

    Open Form Counts

    In the side menu, click Reports, then Form Counts. It opens on Clients, covering the last three months.

  2. Step 2

    Choose the period

    Click a shortcut — 30d, 3m, 6m, 12m or YTD (year to date) — or pick your own dates in Date Range. Use Form Templates to count only the forms you choose. Clear puts the filters back to the default.

  3. Step 3

    Read the totals

    The cards show how many records have responses, the Total Responses, and a card for each approval status that has any: Approved, Pending, Rejected and Update Required.

  4. Step 4

    Read the rows

    Each row is one client, with the number of forms it holds, a count for each month, and the total in the dark pill. Only months that have responses get a column. The link icon beside a name opens that client's profile.

  5. Step 5

    Open a row

    Click a row that has more than one form to see a line for each form. A row with only one form shows it already.

  6. Step 6

    Read the status chips

    In each month, a coloured chip counts the responses in each status, matching the legend above the table. Hover over a chip to see its status written out.

  7. Step 7

    Switch what you're counting

    The tabs switch between Clients, Facilities, Assets, Users and General forms. Each tab shows its total, so you can see where responses are coming in before you open it.
