Ask the assistant about your forms and notes

Ask Star Beam how many forms are waiting, or which notes mention something, and get an answer drawn only from the records you can open.

The assistant can answer two kinds of question about your organisation's forms. It can count them: how many of a form are pending, who filed them, when. And it can search what was written on them, for example every case note that mentions a fall.

It only ever works from the forms your role can already open. A count covers those forms and nothing else, and a search never shows words from a form you couldn't open yourself.

  1. Step 1

    Open the assistant

    In the bottom-right corner of the dashboard, click the Star Beam button. It opens beside the page you're on.

  2. Step 2

    Ask for a count

    Type a question in your own words, such as how many of a form are pending, and send it. Name the form the way your team does: the assistant finds the matching form for you.

  3. Step 3

    See what it did

    While it works, the steps it takes appear under your question. For a count, it first finds the form, then counts the responses. The steps go once the answer is finished.

    Read the count

    The answer gives the number of responses you can open. Drafts aren't counted unless you ask for drafts.

  5. Step 5

    Search what your notes say

    Click the message box, ask which notes mention something, and send it. You can add a client, a staff member or a period, such as this month, to narrow it down.

  6. Step 6

    How the search works

    This time the assistant reads the answers written on each form, not just who filed it and when. When you give it several words, a note has to contain all of them, in any order. Words match from their start, so "fall" also finds "falls", and accents don't matter.

  7. Step 7

    Check each match

    Each match links to its note: click the link to open it. A small number next to a quote means the assistant checked those exact words against the note.

  8. Step 8

    If nothing comes back

    An empty search means no note you can open contains those words. Try a different word, such as "slipped" instead of "fall". Very large searches look at the most recent notes first; if the search couldn't reach back as far as you asked, the answer says how far back it looked.
