Schedule a stock take

Give a register a counting schedule so its stock take lands on the task list, reminds the right people, and is completed by the count itself.

A register with a stock take schedule owes a count every so often — every week, every month, or whatever interval suits what it holds. Each scheduled register gets its own task, **Stock take · **, on the dashboard's Tasks widget.

You do not tick that task off. Submitting the stock take is what completes it, and the row then links straight to the count that did. A register with no schedule is fine too: you can still take stock whenever you like.

  1. Step 1

    Open Inventories

    In the side menu, under Equipment, click Inventories. It lists every register you can reach, across your facilities, with each one's schedule and when its next stock take is due.

    Open the register

    Click the register you want counted on a schedule. A register with no schedule reads No schedule; you can still take stock of it whenever you like.

    Open its settings

    Click the three-dot menu at the top right of the register, then Settings. Settings appears for people who can manage the register.

    Turn the schedule on

    Under Stock take schedule, choose Repeats. The fields for how often, the next due date and reminders appear.

    Set how often

    Set Every to a number, then pick the unit: days, weeks, months or years. Every 2 weeks, every 3 months and every 6 weeks are all fine.

    Set when the next one is due

    Enter Next stock take due. Later stock takes follow on from that date, so changing it re-anchors the schedule rather than skipping one. When you set a schedule while creating a register, you can leave the date blank to start one interval from today.

  7. Step 7

    Choose reminders, then save

    Reminders decides when people hear about it: on the due date, one or three days before, or one day before and then daily while it is overdue. Click Save changes.

    The register shows when it's due

    The register's header now shows the schedule and when the next stock take is due.

    Find it on the Tasks widget

    On the dashboard, the Tasks widget lists Stock take · <register name> under Incomplete. There is nothing to tick: submitting the stock take is what completes it.

  10. Step 10

    Completed by the count

    Once somebody submits a stock take of the register, its row moves to Complete and reads Completed by stock take, with when. Click it to open the count record that completed it.

    The record the row opens: who signed it, each difference and the net change.

    Which count completes it

    A stock take submitted any time on the due day completes that occurrence — the day is the organisation's, in its own timezone. A count on an earlier day does not: the register is still due on the day it was due. A late count completes the overdue occurrence it was owed for. Either way the schedule then moves on one interval from the due date.

    Who gets reminded

    Reminders go to staff rostered at the register's facility who are allowed to count it (the Take Stock or Manage permission) and who are not shut out by the register's own restriction. Someone on shift at a different facility is not reminded.

    No Tasks widget on your dashboard?

    Click Customize on the dashboard and add the Tasks widget. It shows the last week of tasks, with Incomplete and Complete tabs.

    On a shift in the mobile app

    The shift's Stock takes card lists a register when it is overdue, when it falls due before the shift ends, or when a count of it is in progress or waiting on a signature. Doing it from the shift is covered in Do your shift's stock take; counting on the web is covered in Run a stock take.
