Every entry in a case's history — each system event and each post — is hash-chained to the one before it. Changing any entry after the fact would break the chain, so an exported case carries its own proof that the record is intact.
The export comes in two versions. The full internal audit includes everything, office-only staff notes and all. The external / regulator bundle is the one you send outside: office-only notes are withheld, while system events and the reporter's and external posts stay in full.
Exporting needs permission to read cases across the organisation; the regulator bundle also needs the case export permission. Every export is recorded in the audit log.
Step 1
Open the case
In Cases, click the case to open it.
Step 2
Open the export
Click Export at the top of the case. The export opens in a new tab.
Step 3
The internal audit
It starts as the Full internal audit: the case details and every entry in order, office-only notes included. Use this one inside your organisation.
Step 4
Switch to the regulator bundle
Click External / regulator bundle. The bundle rebuilds for sending outside. If the button is greyed out, your role doesn't include the case export permission.
Step 5
What is withheld
Office-only notes are withheld, and a line above the history says how many. Each withheld note keeps its row and its hash, with the text removed, so the chain still links.
Step 6
Chain verified
Chain verified means every entry still matches its hash. If anything had been altered, the badge would read Chain broken.
Step 7
Read the history
The Activity & discussion table lists each entry with its type, time and the start of its hash. A comment that was retracted keeps its hash, marked as content removed.
Step 8
Keep a copy
Print / Save as PDF opens your browser's print dialog, where you can print the bundle or save it as a PDF. The buttons and notes above the letterhead are left off the printout.
